These Terms apply to the APHRS 2026 Busan Participant Destination Portal (aphrs.rideus.net) operated by GroundK Co., Ltd. The portal supports the travel of delegates attending the 30th Asia Pacific Heart Rhythm Society Scientific Session (APHRS 2026 Busan, 21–24 October 2026, BEXCO, Busan).
Chapter 1 · General provisions
Article 1 (Purpose)
- These Terms set out the rights, obligations and responsibilities of GroundK Co., Ltd. (the "Company") and its users, together with the conditions and procedures for using the APHRS 2026 Participant Destination Portal (aphrs.rideus.net, the "Service").
- These Terms apply only to the Service provided through aphrs.rideus.net. Services the Company provides on other domains such as rideus.net or groundk.com are governed by their own terms.
- The Service is not the official website of the APHRS 2026 Busan organising committee. It is a separate transport portal operated by the Company for the convenience of delegates. Registration, programme and scientific matters are governed by the organising committee's own announcements.
Article 2 (Definitions)
- "Service" means the search, booking and ticketing agency, chauffeur and baggage brokerage, travel information and related functions provided through aphrs.rideus.net and its sub-pages.
- "User" means any person who uses the Service under these Terms. The Service has no membership registration, so all users are non-members.
- "Booker" means a user who has submitted a booking request and paid for it.
- "Passenger" means the person who actually uses the booked service, who may or may not be the Booker.
- "Supplier" means the third-party operator that actually provides the transport or delivery, including Korail, SR Corporation (SRT), chauffeur transport operators and baggage delivery operators.
- "Booking agency service" means the Company securing seats, making bookings and issuing tickets on the user's behalf and at the user's request, using accounts the Company holds with a supplier.
- "Brokerage service" means the Company connecting and mediating a transaction between a user and a supplier.
- "Booking fee" means the amount the Company charges in addition to the fare as consideration for the booking agency service.
- "Cancellation fee" means the amount charged when a booking is cancelled, including any penalty or refund charge imposed by the supplier.
Article 3 (Posting and amendment of these Terms)
- The Company posts these Terms at the foot of the Service and within the booking flow so that users can read them easily.
- The Company may amend these Terms within the limits of the Act on the Regulation of Terms and Conditions, the Act on Consumer Protection in Electronic Commerce and other applicable laws.
- Where these Terms are amended, the Company announces the effective date and the reason on the Service at least 7 days in advance; where the amendment is unfavourable to users, at least 30 days in advance, showing the previous and revised text side by side.
- A user who does not agree to the amended Terms may stop using the Service. Continuing to use the Service after the announcement is deemed acceptance.
- Bookings already made remain subject to the Terms, fees and cancellation rules in force when the booking was made.
Article 4 (Status of the Company)
- The Company is not a transport operator and does not itself carry passengers. The contract of carriage is between the user (or passenger) and the supplier; the Company acts as a booking and ticketing agent on the user's instruction, or as an intermediary in electronic commerce.
- Accordingly, responsibility for the performance of the carriage — including delays, cancellations or suspension of trains, late dispatch of vehicles, accidents, loss of or damage to baggage, seat allocation and refusal of carriage — rests with the relevant supplier. The Company does not guarantee the supplier's performance.
- Where a user suffers loss through the Company's wilful misconduct or negligence in performing the booking agency or brokerage, the Company is liable to that extent.
- The supplier of each product and the Company's role in it are shown on the product and payment screens, and that display prevails over these Terms.
Chapter 2 · Using the service
Article 5 (Scope of the service)
The Company provides the following. Availability and scope may change according to the Company's circumstances and its arrangements with suppliers and the organiser.
| Service | Description | Company's role |
| Venue shuttle information | Routes and timetables of the free hotel–BEXCO shuttle operated by the organiser | Information only (no booking or payment) |
| Chauffeur service | Private vehicle booking for one-way trips within the Busan area (Gimhae Airport, Busan Station, BEXCO, accommodation and other points) and for hourly charter. The routes available are shown on the search screen. | Brokerage |
| KTX · SRT booking | High-speed rail timetable search, seat reservation and ticketing on the user's behalf | Booking agency |
| Baggage delivery | Same-day baggage delivery between Gimhae Airport, Busan Station or BEXCO and the official event hotels | Brokerage |
| Travel information | Taxi-hailing apps, map apps and guidance on getting around Busan | Information only |
| Booking management | Retrieving bookings, requesting cancellation, registering the baggage photo and accommodation booking confirmation for baggage delivery, confirmation and cancellation e-mails | — |
The venue shuttle is carriage provided free of charge to delegates by the organiser. The Company only publishes its operating information and neither takes bookings nor collects payment for it.
Article 6 (Nature of displayed information)
- Train timetables, seat availability and fares, vehicle availability and shuttle operating information shown on the Service are reference information gathered from supplier systems and from the organiser, and may differ from the actual position at the time of viewing.
- Where real-time information cannot be retrieved because of a fault at an external source, the Service may omit the information or display an estimate instead. Even then, the confirmed service, seat and fare are those returned by the supplier's booking and ticketing result.
- A seat or vehicle shown on a search screen may already be sold out or unavailable when the booking is submitted. This is a normal outcome; in that case the Company refunds the payment in full under Article 10.
Article 7 (Availability and suspension)
- The Service is in principle available 24 hours a day, all year round. However, booking, ticketing and cancellation may be restricted during the operating or maintenance hours of supplier systems.
- The Company may suspend all or part of the Service for system maintenance, replacement or failure, loss of communications, force majeure, or a fault in a supplier system.
- Planned suspensions are announced on the Service in advance; where advance notice is impossible, the Company announces it without delay afterwards.
- The Service is operated on a temporary basis for APHRS 2026 Busan and may stop accepting new bookings after the event. Even then, the Company continues to handle the performance, cancellation and refund of bookings already made, and to answer enquiries.
Article 8 (Obligations of the user)
- Users must enter accurate information when making a booking, and in particular:
- for non-Korean users, the given and family names exactly as shown in the passport;
- a working e-mail address and mobile number (confirmations and notices are sent to them, and they are also used to authenticate access to your booking);
- pick-up and drop-off points, date and time, number of passengers and number of bags;
- for baggage delivery where accommodation is the origin or the destination, the name, contact number and e-mail address of the guest booked at that accommodation (the accommodation checks this name before accepting or releasing the baggage).
- Baggage delivery users must register a photo of the baggage to be sent, using the link in the booking confirmation e-mail, before the driver arrives. Two or more bags should be photographed together in one picture. The photo is used to confirm the address and to check for damage or loss; if it is not registered, the service ends without a refund under Article 14.
- The Company is not liable for refusal of carriage, re-issue costs, loss caused by the driver being unable to make contact, or refusal by the accommodation to hand over the baggage, where these arise from information the user entered incorrectly.
- Users must not:
- use another person's name, contact details or payment method without authority;
- access the Service or attempt bookings by automated means (bots, scripts, crawlers);
- repeatedly book and cancel without a genuine intention to travel;
- hold seats or vehicles for the purpose of resale;
- probe the Service for vulnerabilities or place undue load on it;
- infringe the intellectual property rights of the Company or any third party.
- Where a user breaches this Article, the Company may cancel the booking or restrict use of the Service without prior notice, and may claim damages.
Article 9 (Minors)
- Users under 19 must obtain the consent of their legal representative before using the Service.
- Personal data of children under 14 is collected and used only with the consent of a legal representative.
- Where a booking includes a minor, the user must check and comply with the supplier's requirements for accompaniment and identification.
Chapter 3 · Booking · payment · fees
Article 10 (Formation of a booking)
- A booking request is an offer. The booking is formed when all of the following are complete:
- the user has entered the booking details and agreed to these Terms and to the collection and use of personal data;
- payment has been made;
- the seat or vehicle has been secured, or the booking accepted, in the supplier's system;
- the Company has confirmed the booking on screen and by e-mail.
- Chauffeur bookings must be made at least 2 days before the date of service; baggage delivery bookings close at 17:00 (KST) on the day before service. These lead times are needed to secure dispatch and collection, and later requests are not accepted on screen.
- For baggage delivery where accommodation is the origin or the destination, the booking is formed only once the accommodation guest details and the accommodation booking confirmation have been submitted. Baggage is handed over without the guest present, so the accommodation must be able to verify the guest; without these the booking cannot proceed to payment. The material submitted is used solely to fulfil that booking and to confirm hand-over at the accommodation.
- The Company may decline a booking request, or cancel a booking already formed, where:
- the request contains false, missing or mistaken information;
- the amount or currency paid does not match the order;
- the booking cannot be secured because the supplier is sold out or unable to dispatch, the service is cancelled, or a system fault occurs;
- the user has breached Article 8;
- acceptance is otherwise impractical for technical or operational reasons.
- If a seat or vehicle cannot be secured after payment, the Company notifies the user and refunds the payment in full without delay. No cancellation fee applies.
- Where the amount or currency paid is found not to match the order, the Company does not form the booking or cancels it under paragraph 4, and refunds the payment after checking.
Article 11 (Fees and charges)
- The total payable consists of the fare (or product price) plus any booking fee and optional extras, and is itemised on the order screen before payment.
- The booking fee is charged in addition to the fare as consideration for the KTX · SRT booking agency service; its amount and rate are shown on the payment screen. No separate booking fee applies to chauffeur or baggage services — the price shown is the total payable.
- The Company may change its pricing, but a booking already paid for is charged at the amount shown at the time of payment.
- The Company's fee under paragraph 2 is separate from any fare, penalty or refund charge imposed by a supplier under its own terms.
- Prices are displayed in Korean won (KRW) or US dollars (USD) depending on the product, and the payment screen shows the currency and amount that will actually be charged. Where payment is taken in a currency other than the displayed one, the applied exchange rate is shown on the payment screen; that rate is fixed at the time of payment and the amount shown is what is charged.
- Where a card issuer applies its own exchange rate or an overseas transaction fee, the amount finally billed to the user may differ from the amount shown. That is governed by the policies of the card issuer and the payment institution.
Article 12 (Payment)
- The following payment methods may be available, depending on the product and the payment environment. Available methods are shown on the payment screen.
- Korean credit and debit cards
- Cards issued outside Korea
- Any other method the Company announces
- Payments are processed through a payment gateway. The Company does not collect or store card numbers, expiry dates, passwords or other payment credentials — these are handled directly by the payment gateway and the card issuer.
- The Company does not rely only on the payment result reported by the user's browser. It queries the payment gateway's server directly to check the status, amount and currency. For KTX · SRT, tickets are issued after this check; for chauffeur and baggage services, the payment is matched against the booking after the booking has been placed.
- Payment is processed in the following order for each service, and a failure at any step is handled so that the user is never charged twice:
- KTX · SRT: secure seat → authorise payment → check payment → issue ticket;
- chauffeur and baggage delivery: authorise payment → place the booking with the supplier;
- if authorisation fails: no booking is formed, and any seat held is released when the holding time ends;
- if ticketing or placing the booking fails after authorisation: the authorised payment is refunded.
- If the payment window is closed or the connection drops before the result reaches the Company, the Company queries the payment gateway by order number to identify the authorised payment. For KTX · SRT, ticketing proceeds once authorisation is confirmed; for chauffeur and baggage services, a payment that did not lead to a booking is refunded after the Company has checked it.
Article 13 (Retrieving your booking)
- The Service has no membership registration, so bookings are retrieved after verifying the mobile number and e-mail address entered when booking.
- The Company sends a one-time code to that e-mail address. The code is valid for 10 minutes and is discarded after 5 incorrect attempts. On successful verification, access is granted for 60 minutes.
- Immediately after completing a booking, the user can open the details of that single booking without further verification. That access is valid for 30 minutes from issue.
- Users must keep their e-mail address, mobile number and booking reference from being disclosed to others. The Company is not liable for disclosure, alteration or cancellation of a booking caused by a failure to do so.
Chapter 4 · Cancellation · refund
Article 14 (Withdrawal and cancellation)
- Users may withdraw an offer under the Act on Consumer Protection in Electronic Commerce. This does not apply where that Act restricts withdrawal, such as passenger transport services and products tied to a specified date; for those products the payment screen states this together with the cancellation rules.
- Cancellation and refund rules by service are as follows. The rules displayed on the payment and booking detail screens are the same as this table, and the estimated refund is shown before you confirm a cancellation.
| Service | When cancelled | Refund |
| Chauffeur | Luxury Sedan · Minivan |
| 48 hours or more before pick-up | Full refund |
| Less than 48 hours, until 24 hours before pick-up | 50% refund (50% cancellation fee) |
| Less than 24 hours before pick-up · no-show | No refund |
| Minicoach · Luggage Truck |
| 72 hours or more before pick-up | Full refund |
| Less than 72 hours, until 48 hours before pick-up | 50% refund (50% cancellation fee) |
| Less than 48 hours before pick-up · no-show | No refund |
| Baggage delivery | Until 17:00 the day before | Full refund |
| After 17:00 the day before, through the day of service | Cannot be cancelled · no refund |
| KTX · SRT | The refund rules in the passenger transport terms of Korail and SR Corporation apply. The cancellation screen shows the refund charge and the estimated refund. |
- For the chauffeur service the deadline is counted from the pick-up time. For baggage delivery the deadline is 17:00 (Korea time) on the day before the drop-off date; once that time has passed the booking cannot be cancelled, however much time remains before the service. This is because bookings are registered with the delivery operator on the previous day.
- For baggage delivery, the service ends immediately and is not cancelled or refunded in the following cases:
- there is no baggage to collect when the driver arrives;
- no baggage photo has been registered before the driver arrives.
- A baggage delivery booking, including its origin and destination, cannot be changed once made. To make a change, cancel within the cancellation deadline and book again.
- Where these rules are unclear, the Consumer Dispute Resolution Criteria published by the Korea Fair Trade Commission apply.
- Rail tickets that have already been issued can still be cancelled on the Service; the Company requests the refund from the rail operator and processes it. Where this cannot be completed immediately because of the operator's system hours or a fault, the Company informs the user of the position and progress.
- Cancellations are submitted from the booking retrieval screen. If the screen cannot process the request, contact the Company at the address in Article 21.
Article 15 (Processing of refunds)
- The refund is the amount paid less the cancellation fee under Article 14 and any penalty or refund charge imposed by the supplier. The estimated refund is shown on the cancellation screen.
- Where the cancellation is due to a cause attributable to the Company (such as an error in the booking agency service) or to the supplier cancelling the service or being unable to dispatch, no cancellation fee is charged and the payment is refunded in full.
- Refunds are in principle made to the payment method used. For card payments, the cancellation of the charge or the credit may take 3–7 business days after processing, depending on the card issuer, and longer for cards issued outside Korea.
- Where the displayed currency differs from the currency charged, the refund is processed on the basis of the currency and amount actually charged. Any difference arising from exchange rate movement is governed by the policies of the card issuer and the payment institution, and is not made up by the Company.
- Where the Company delays a refund that is due, it pays interest for the delay as required by applicable law.
Article 16 (Changes or cancellation caused by suppliers)
- Where a supplier cancels or delays a service or changes the vehicle, the Company notifies the user using the contact details provided.
- Alternative arrangements, refunds and compensation in such cases follow the supplier's terms and applicable law; the Company assists the user in making the necessary arrangements.
- Where the service cannot be provided for reasons attributable to neither the supplier nor the Company — natural disaster, severe weather, industrial action, an epidemic and the like — the outcome follows the supplier's terms and applicable law.
Chapter 5 · General provisions
Article 17 (Personal data and location data)
- The Company protects users' personal data in accordance with the Personal Information Protection Act and other applicable laws.
- The scope of disclosure to suppliers and payment providers for booking and ticketing, processing entrusted to third parties, overseas transfers and retention periods are set out in the separate Privacy Policy.
- The Privacy Policy is posted on the Service and has the same effect as these Terms.
- The Company is a location-based service provider (registration no. 12221) under the Act on the Protection and Use of Location Information, and processes users' personal location data in order to fix pick-up and drop-off points and perform the carriage for chauffeur and baggage services. Purposes, items, retention periods and how to withdraw consent or request suspension are set out in the location data section of the Privacy Policy.
- Users may withdraw consent to the processing of personal location data, or request its temporary suspension, at any time. In that case the chauffeur and baggage services may not be usable.
Article 18 (Intellectual property)
- Intellectual property rights in the text, images, design and software of the Service belong to the Company or to the rightful owner.
- Rights in the APHRS 2026 Busan name and marks belong to the organising committee of that meeting, and the Company uses them only to provide transport information to delegates.
- Users may not reproduce, distribute, transmit, publish or create derivative works from the content of the Service without the Company's prior written consent.
- Rights in supplier product information and images belong to the relevant supplier.
Article 19 (Limitation of liability)
- The Company is not liable for loss arising from the following, unless caused by its wilful misconduct or negligence:
- force majeure, including natural disaster, war, epidemic and measures taken by public authorities;
- failure, error or suspension of a supplier system or an external information source;
- causes attributable to the user, such as incorrect details, wrong contact information, travelling without identification or a passport, or failing to arrive on time;
- decisions the user makes on the basis of information obtained through the Service, and their consequences;
- disputes between users, or between a user and a third party, arising through the Service.
- The Company does not guarantee the quality, safety or punctuality of the transport or delivery provided by suppliers.
- Responsibility for the operation, delay or alteration of the free venue shuttle operated by the organiser rests with the organiser and its transport operator; the Company only publishes information about it.
- For information pages and search functions provided free of charge, the Company is not liable for damages in the absence of wilful misconduct or gross negligence.
Article 20 (Scope of damages)
- Where a user suffers loss through a cause attributable to the Company, the Company compensates that loss as required by applicable law.
- The Company compensates ordinary loss; loss arising from special circumstances is compensated only where the Company knew, or could have known, of those circumstances.
Article 21 (Dispute resolution)
- The Company operates a customer support channel for enquiries and complaints:
- Bookings, cancellations and refunds: transport@aphrs2026.com
- Hours: Mon–Fri 09:00–18:00 KST (excluding weekends and public holidays)
- The Company and the user shall endeavour in good faith to resolve any dispute by agreement.
- Failing agreement, the user may apply for mediation to the Korea Consumer Agency, the Electronic Commerce Mediation Committee or another dispute resolution body.
- These Terms and the use of the Service are governed by the laws of the Republic of Korea.
- Where proceedings are brought, jurisdiction is determined under the Civil Procedure Act.
Article 22 (Language)
The Korean text of these Terms is the original, and an English translation is provided alongside it. In the event of any discrepancy in interpretation, the Korean original prevails.
Supplementary provision
These Terms take effect on 22 August 2026.
